How I Keep Our Family Organized When Traveling

Our family loves to travel—and over the years, we’ve been lucky enough to explore both across the U.S. and internationally. Whether we’re road-tripping for a long weekend or flying overseas, staying organized makes every trip smoother, easier, and a lot more enjoyable.
As a professional organizer and a mom of two, I’ve developed some tried-and-true systems that help our family of four feel prepared and relaxed while on the go. With spring break right around the corner here in Northern Virginia, now is the perfect time to share my favorite family travel tips to help you plan with ease and confidence.
Color-Coded Packing Cubes = Total Game Changer
Each family member has their own set of color-coded packing cubes, which makes packing (and unpacking) simple and efficient. Our kids often share one suitcase, and my husband Mike and I share another. Thanks to the color system, I always know whose items are where—no digging necessary.
To take it a step further, I use custom magnetic labels from Etsy that attach to the outside of the cubes. I can quickly spot which one holds swimsuits, pajamas, or socks without opening every single cube. It’s a small detail that makes a big difference when living out of a suitcase.
Travel Toys Without the Clutter
When we’re taking a road trip and have extra space, I like to grab a haul of toys from The Toy Nest, our Falls Church toy library. The kids are thrilled to have “new” toys for the car or vacation—and I love that they get returned when the trip is done.
Travel Light—But Smart
When flying—especially internationally—we aim to pack as light as possible. Last summer, I traveled to Switzerland to see family with our two kids without my husband, and the three of us shared one large suitcase. It made getting through airports much easier and kept us flexible along the way.
Passport Hack for Traveling with Kids or a Group
When traveling abroad with kids, I often hold multiple passports and boarding passes. To keep things simple, I add first name labels to the back of each passport. It makes it quick to grab the right one and keeps us moving smoothly through security.
The Always-Ready Toiletry Bag
I keep a small toiletry bag packed year-round with essentials for the whole family. This includes the basics like toothpaste, but also some of our less obvious travel must-haves:
Laundry and dish pods
A small bottle of stain remover
Folded kitchen trash bags (perfect for dirty clothes)
A Sharpie and washable chalk pen (for labeling cups or snack containers)
This bag saves time and makes leaving for trips so much easier.
Our “Travel Drawer” at Home
In one of our primary closets, we have a designated travel drawer. It holds:
A pre-packed bag of chargers and cords
Night lights
Extra packing cubes
A few small toys (like a Lego kit) that only come out for trips
Not only does this keep everything in one place, but those “trip-only” toys feel special and exciting for the kids.
Pre-Made Packing Lists (for the Win!)
One of my top tips? Packing list templates in the Apple Reminders app, customized for the types of vacations we take most often:
Ski trips
Beach weeks
Camping weekends
Before each trip, I just duplicate the right list and check off items as we go. It eliminates guesswork and makes packing smoother for everyone.
My kids started using visual packing lists around first grade. They pack their own items (with a quick double-check by a parent). My oldest son recently asked for his own toiletry bag—a great step toward independence!
Coming Home to a Clean House
One of my favorite luxuries? Scheduling our biweekly cleaning while we’re away. It feels wonderful to return to a freshly cleaned home—and knowing they’re coming helps me get out the door quickly before a trip.
Post-Trip Grocery Delivery
On our way home, I place an Instacart order so that groceries arrive right around the same time we do. This small step helps us ease back into everyday routines without needing a last-minute grocery run.
